ROOX in partnership with EID Easy OÜ develops qualified digital signature request process for iManage Work 10

Qualified digital signature is a form of electronic signature legally recognized in Portugal and in other countries of the European Union, being regulated by Decree-Law 62/2003, and may be used to sign electronic documents with the same legal value as signatures on paper. In the last 20 years a path was taken, not only to allow this process to be a reality from a technological point of view, but also, mentalities and processes were changed, which allowed a gradual acceptance of a digital document alternative to a paper one signed by hand.

According to the legislation in force, the qualified digital signature in Portugal must be done through a digital certificate issued by a qualified Certification Authority, which in the case of Authenticação.Gov is managed by AMA. There are several ways to sign a document, being the most common the use of the Autenticação.gov application, however, the use of this application, in the context of a work process, namely when it is necessary to collect several signatures of the same document, forced a not very productive process, since the document could only be in the possession of one part at a time.

With the iManage Work 10 AddIn, it is possible to send a document to multiple recipients at the same time and the document is returned to iManage Work 10 once everyone has signed. At any time the lawyer can see which people have or have not signed the document.

1. A digital signature has the same legal validity as a handwritten signature, recognised by a lawyer or notary.
2. You can authenticate yourself and sign digital documents as a qualified professional or entrepreneur.

4. To sign a document you should download the desktop application Authenticação.gov which is available at authenticacao.gov.pt, (ROOX: or alternatively use this process described here).
5. With the digital signature a timestamp, reason and place can be added which can be included through the Authentication.gov application.
6. If you want the date and time of the signature to be recorded at the time of the digital signature, you should use the Authentication.gov application and choose the option to "Add Temporal Seal".
7. Professional attributes can be: business, public officers, local elected officials, employees and other attributes.
8. To authenticate and/or sign digital documents as a professional you can choose between two means certified by the Portuguese State: the Citizen Card or the Mobile Digital Key.
9. To sign with Citizen Card you need to have the digital signature of the card activated, a card reader and the digital signature PIN code.
10. To sign with Mobile Digital Key you need to have the Mobile Digital Key activated, have the CMD's digital signature activated and the CMD's signature PIN code (which can be the same as the CMD's PIN code) 

The process developed by ROOX is extremely simple to use, simply by following the steps listed below:

1. The lawyer/user chooses a digital signature option in the document filed in iManage 
2. Indicates name, email and phone number of the person or persons to whom the signature will be requested
3. Recipients receive an email with a link to the document, then follow the normal mobile digital signature steps.
4. After the document is signed by all parties, it returns to your iManage with a new version on top of the original document.
